Printer offline in Windows 11: reconnect it without unnecessary resets
Check power, network, queue state and the print spooler before reinstalling the printer.
- Power-cycle the printer.
- Confirm the PC and network printer are on the same Wi-Fi network when applicable.
- Open the print queue and cancel stale jobs.
- Restart Windows before reinstalling the printer.
What this problem usually means
An offline state can come from the printer itself, network reachability, a paused queue, stale printer state or the print spooler. Treat the queue and connection before removing the device.
Work from the narrowest fix to the broader one.
Run the printer troubleshooter
Low riskWhy this belongs here: Windows 11 provides a printer troubleshooter through Get Help for common printer failures.
- Open Get Help.
- Search for the printer troubleshooter.
- Run diagnostics and apply the recommended fix.
Clear obvious queue and offline state
Low riskWhy this belongs here: Paused or stuck queue state can make an otherwise reachable printer appear unavailable.
- Open Settings > Bluetooth & devices > Printers & scanners.
- Open the printer queue.
- Cancel stale jobs and make sure printing is not paused or forced offline.
Restart the Print Spooler
Low riskWhy this belongs here: The spooler manages Windows printing jobs and can become stuck.
- Search for Services and open it.
- Find Print Spooler.
- Restart the service, then retry the print job.
Remove and reinstall the printer only after the narrower checks
Low riskWhy this belongs here: Reinstalling refreshes the Windows printer object when simpler queue and connection steps do not help.
- Open Settings > Bluetooth & devices > Printers & scanners.
- Remove the affected printer.
- Make sure it is powered and connected.
- Use Add device to install it again.
When this guide stops being the right path
If an ARM-based PC cannot add the printer using the manufacturer installer, Microsoft currently recommends using Windows’ Add or install a printer path instead of assuming the printer itself is offline.
If the problem is still not fixed
If the printer works from other devices but not this PC after reinstalling, move to driver and Windows printer-service diagnosis.
