8 Resignation Email Examples
Use these examples to study structure, specificity, tone, and variation. They are demonstrations—not claims about a real person or organization unless the example itself makes that explicit.
What to notice in the examples
An effective resignation email is unambiguous, professional, and administratively useful: it names the role and date, avoids unnecessary conflict, and helps the manager or HR start the handover and offboarding process.
- Open with the context or purpose quickly so the reader knows why the resignation email matters.
- Organize the middle around the information the reader needs to act on: formal resignation, final-date clarity, handover, and offboarding coordination.
- Close with a clear next step, date, owner, contact point, or courteous sign-off instead of leaving the reader to infer what happens next.
I am resigning from my role as Product Analyst, with an intended final day of 20 November.
Thank you for the opportunities to work on the forecasting and migration projects.
I will document current responsibilities and confirm outstanding deadlines this week.
Please let me know which offboarding forms or meetings HR requires.
The message does not need to disclose the employee’s next employer.
If the final date is subject to contractual confirmation, say so rather than presenting an uncertain date as final.
A resignation email should not be used as a surprise substitute for required HR procedures where policy specifies another process.
Keep the underlying decision or pattern, then replace the subject, evidence, relationship, constraints, and tone with details that belong to your situation. If your final line still works after swapping only one noun, it may be too close to the example.
