What to notice in the examples

A strong thank-you email names what the recipient did, explains briefly why it mattered, and ends naturally without turning gratitude into an unrelated request unless that next step genuinely belongs in the exchange.

  • Use a specific subject line when the context is not obvious.
  • Thank the person for the exact action or contribution.
  • Add one sentence about its effect, usefulness, or meaning.
  • Close at a level of warmth appropriate to the relationship.

Turn an example into your own writing

Keep the underlying decision or pattern, then replace the subject, evidence, relationship, constraints, and tone with details that belong to your situation. If your final line still works after swapping only one noun, it may be too close to the example.
